A Blueprint for Effective Workplace Stress Management Programs in Kenya- Evelyn Manyara (24-0290)

Introduction


Workplace stress for decades has become a work companion for employees; however, we are seeing a new wave where mental health in the workplace has been put at the forefront of the main issues being addressed by employers and the community, as it is creating losses for organizations. Therefore, employers are coming up with stress management programs in the workplace.


Stress Management Program Creation Cycle


  1. Collect data to inform your choices.

The main aim of these program is to address the root causes of workplace stress and remove known stressors such as workload, deadlines, expectations, conflicts, communication, uncertainty, change, and lack of control. A collaborative effort between the employer and the employee is required for these programs to be effective; therefore, feedback from employees can be gotten through surveys, interviews, focus groups, or other methods that collect feedback and data. With the information collected, employers can prioritize the most urgent and relevant issues and design specific programs unique to them (Patro & Kumar, 2019).


      ii.            Providing support and resources.

Accessibility, confidentiality and flexibility should be the main characteristics of these programs as well as match the needs and preferences of the employees to encourage active participation with the programs. These programs include:


Stress education and awareness- Creating awareness of workplace stress, educating employees on their legal rights and teaching them techniques on how to handle stress should be integrated in the workplace, as it helps to identify signs of stress and learn the necessary skills on how to prevent and manage them. The Ministry of Health in Kenya created a national guideline on workplace mental wellness that acts as a roadmap for organizations in Kenya when addressing this issue.


Preventing work stress programs - These programs look at the causes and effects of workplace stress, therefore providing healthy lifestyles and coping strategies. They include meditation, visualization, and exercises that prepare and create resilience in the employee, thus encouraging self-awareness through programs like coaching sessions and workshops that focus on specific topics.


Improving the quality of life- These programs encourage the mental and physical well-being of the employee, thus also creating the resilience needed to face a stressful situation. These programs include counseling sessions, courses in relaxation techniques, yoga classes, or even fitness classes like Zumba and aerobics. Mental health organizations, clinics, and higher learning institutions in Kenya are providing courses on mental health; therefore, if organizations are intentional about these programs, it only makes sense to make them easily accessible and free of charge to the employees.


Providing Opportunities for Stress Relief- Taking regular breaks in the workplace has shown that it is effective in helping employees relieve the accumulated stress. Additionally, encouraging the use of headsets to listen to music and engaging in lunchtime yoga and stretches have become useful as they reduce the feeling of being tired and lethargic.


Employee assistance programs- Employee assistance programs include activities like health screenings, fitness classes, and financial planning assistance, which help promote healthy lifestyles, physical fitness, and psychological stability among employees. Organizations like Safaricom have implemented these programs, including employee counseling, 24-hour helpline support, a direct line to the CEO that offers support to employees and accessibility to online resources.


    iii.            Empowering employees

Championing the employees to manage their stress in the workplace and taking advantage of the programs that are being offered within the organization on managing stress shows that the organization is intentional about the well-being of the employee. And employers can do this by giving employees more independence, control, and choice over their work, as well as by providing them with feedback, recognition, and opportunities for growth and development.


Empowerment from the employers to the employees looks like this: involving employees in decision-making, setting realistic and clear goals, delegating tasks and responsibilities, acknowledging achievements and challenges, and having a reward system to encourage active participation from the employees.


Positive culture in the workplace plays a crucial role here, as it creates trust in the organization that, despite the employee being vulnerable, their space and personal information are respected and will not be used against them to influence decisions like promotions.


    iv.            Monitor and evaluate the outcomes.

To understand the impact of these programs in the organization, employers need to monitor and evaluate the outcome of the implemented programs, and they can do this by analyzing the indicators of stress and well-being, such as absenteeism, turnover, productivity, performance, satisfaction, engagement, health, and morale.


       v.            Adapt to changing needs.

Due to the ever-changing dynamics in the workplace, it is crucial for organizations to keep updating and refining these programs. During COVID-19, organizations had to integrate stress management programs that accommodate the stress that comes with working from home, like live instructor-led classes, stress management online workshops, and virtual health coaching from Certified Specialists (Strive Well-Being, 2023).


Benefits of having a workplace stress management program



Employers could look at implementing these programs as an extra expense; however, without managing and preventing stress within the workplace, it has a long-term negative effect on the organization. Therefore, these are the benefits of implementing these programs:

Workshops lead to increased productivity, while physical and mental engaging activities like yoga classes, mindfulness lessons, and relaxation techniques provide healthy channels for releasing stress, thus reducing drug intake within the workforce.


Additionally, the increased sense of satisfaction with work output and a sense of being valued in the workplace lead to an improvement in their workers’ morale. This can spill over into the customer experience.


These programs offer a win-win situation to both the organization and the employees; therefore, it is crucial to note that having knowledge of the stress management programs empowers organizations to be intentional about implementing them and the employees takes advantage to of them to protect their well-being.
